TERMS AND CONDITIONS

Booking, Payments & Cancellations

Once we receive your booking enquiry, we’ll confirm availability and work with you to choose the best package for your event. To secure your chosen date, a £50 deposit must be paid via bank transfer. You’ll receive booking confirmation once the deposit is received. The full balance must be paid 48 hours in advance of the booked party. We understand that unexpected circumstances can arise. If you need to cancel and you give at least 14 days’ notice, we’ll refund 100% of your deposit. Cancellations made with less than 14 days’ notice are non-refundable.

Online Store Products

Our gift bags, clothing, sweet cones and balloons are made to order and non refundable with the exception of damaged goods. 

Any additional items purchased will be delivered at the time of your event by ourselves.

Rescheduling

We allow a one-time date change provided we’re given at least two weeks’ notice. If less notice is given, your booking will be treated as a cancellation and the deposit will be forfeited. Rescheduled events are treated as new bookings.

Event Start Times & Punctuality

We aim to arrive and set up with time to spare, but cannot delay the scheduled start time. We recommend guests arrive 10–15 minutes before the session starts. Details will be confirmed once your booking is secured.

Cancellations by Us

In rare cases, we may need to cancel due to issues beyond our control, such as serious technical problems or extreme weather. If this happens and an alternative date can’t be arranged, all payments will be refunded in full or date rearranged dependant on customers choice, only one option is available- refund or reschedule.

Pricing & Travel

Prices include travel within 20 miles each way from our base at CF3 ORD. Distances are calculated using the fastest route shown on Google Maps.

Game Content & Age Limits

We take age-appropriate gaming seriously. You’ll be asked to let us know the age rating limits for games at your event. We are not liable for any games played by guests under the specified age.

Who We Cater For

Our services are mainly designed for children aged 7–16. For corporate events, weddings or team-building sessions, please contact us to discuss options.

Game & Console Updates

While we do our best to keep everything up to date, we can’t guarantee game playability if a title requires an update during your event. This may affect access to certain games like Fortnite or Roblox, though we’ll try to minimise disruptions.

Arrival & Parking

We aim to arrive with sufficient time for setup. If we’re delayed by severe traffic or weather, we’ll still run the full gaming session.

It’s your responsibility to ensure suitable parking is available. We need a flat, accessible space at least 9 metres long. Please ensure no obstructions and communicate with neighbours if needed. If we can’t park or access the site, the session will be cancelled without a refund. We’re also not liable for any damage to parking surfaces.

Accidents & Clean ups

Should someone become ill or have an accident inside the van (e.g. vomiting), we may need to temporarily clear the van for cleaning. If deep cleaning is required after the event, a £60 cleaning fee will apply.

Power & Internet Access

We require access to two standard plug sockets within 20 metres of where we park. Without this, the event cannot proceed, and no refund will be issued. We are not responsible for damage to your power supply.

We use our mobile data but can’t guarantee network strength or quality in all areas, we may need to connect to your broadband via Ethernet. 

VR Gaming

Our VR experience requires additional space and will be set up outside the van when possible.

Guest Behaviour

Guests behaving aggressively or disrespectfully toward our staff or equipment will be asked to leave. Deliberate damage will result in charges (e.g., £450 for a broken TV) and the session may be ended without refund. No food or drinks are allowed inside the van.

Health & Safety

Our team is DBS checked and we meet all necessary health and safety standards. Entry to the van is at your own risk. Unfortunately, due to space limitations, our van is not wheelchair accessible and not suitable for crutches or walking sticks.

We cannot be held liable for any health issues arising from things like photo-sensitive conditions.

We carry full public liability insurance—documents available upon request.

Technical Problems

If technical issues arise during your event that affect gameplay, we’ll review the situation after and may offer a partial refund or discount based on the impact.

Service Use & Conditions

We may update pricing, services or terms at any time, but confirmed bookings won’t be affected. All consoles and games are for private entertainment purposes only.
